Which account this is about

This page is about accounts in the EVEC Volunteer Academy. On Google Play the app is called EVEC Volunteer Academy, and the developer is EVEC Athens. The app opens the Academy on our website, evec.org.gr. So you have one account, whether you use the app or a web browser. When you delete it, it is deleted everywhere.

There are two ways to delete your account. You can do it yourself in the app, and it happens straight away. Or you can ask us by email.

Delete your account in the app

You will need your password.

  1. Open the EVEC Volunteer Academy app and sign in. In a web browser, sign in at evec.org.gr/volunteers-academy/my-dashboard/.
  2. Go to the My file tab.
  3. Open Delete my account. It is a separate box from “I want to leave”.
  4. Enter your password.
  5. Type the word DELETE. The Greek word ΔΙΑΓΡΑΦΗ works too.
  6. Tap Delete my account now.

Your account is deleted at once and cannot be brought back. You are signed out on every device, and phone notifications stop. We then email a confirmation. If you registered yourself, it goes to your own email address. If a parent or guardian set up your account, the account has no email address of its own, so the email goes to them. That means that if you are under 18, your parent or guardian is told. You are welcome to register again later, as a new member.

Forgotten your password? Sign out, then choose “Forgotten your password?” on the sign-in page. We email you a link to set a new one. If a parent or guardian set up your account, enter their email address in that form; the link goes to them.

Want a copy first? Open My participation record and save or print it before you delete. After deletion, you can no longer open your record or your certificates.

Ask us by email instead

You can also ask us to delete your account. Do this if you cannot sign in, if you have already used “I want to leave”, or if you prefer not to use the app.

  • Where to write. Email academy@evec.org.gr from the email address on your account. Say that you want your Academy account deleted, and give your username.
  • No access to that address? Write from any address and give your username. Before we delete anything, we ask you for the month and year you were born and where you said you live when you signed up, and we also email the address on the account.
  • Parents and guardians. Write from the email address you used to register your child. Give your child’s first name and username. If you registered more than one child, tell us which accounts to delete.

We answer within one month at the latest. We delete the same data as the app does (see below), and we email you when it is done.

What we delete

When your account is deleted, we delete:

  • Your details. Your first name and surname initial, email address, username, password, birth month and year, region or country, town, languages, interests, and the time you said you could give.
  • Your parent or guardian’s details. Their name and email address, if your account has them.
  • Everything you wrote or sent. Your task answers and all their earlier versions, your lesson writing and quiz answers, your messages with our team, the links and notes you sent us for contributions, graphics and social-media posts, the drafts you had not sent, and the reports you sent us. The star ratings you gave are deleted too.
  • Your sign-ins and devices. Sign-in records, including IP addresses, the links we emailed you, the phones you turned on notifications for, and the notifications waiting for you in the app.

Anything left unfinished closes with the account. A task waiting for review is closed without a review, an article waiting to be published will not be published, and any call for graphics for one of your articles is emptied and closed. Drafts you had not sent are deleted from our server and from the device you used.

What we keep, without your name, for 5 years

A few records stay after deletion. We need them to report on the EU-funded projects the Academy is part of, and for audits of those projects. They are:

  • Your reference number. The V-number printed on your record page (My participation record), such as V-2026-014. It is a number, not a name.
  • Your drachma ledger. The drachmas earned and spent, and when.
  • Your tasks. Which tasks you were given, with dates and results, but not what you wrote.
  • An activity log. Entries such as “signed in” or “task sent”, marked only with the reference number.
  • A record of consent. What was agreed to or withdrawn, by you or your parent or guardian, and when. No name is kept with it.
  • Basic account settings. The month you joined, the account’s level and language, and the dates it was created, confirmed and deleted.

None of these records holds your name, email address, username or anything you wrote. Five years after your account is deleted, we delete them too.

Reports our team marked as a safeguarding concern (one you sent, or one about something you made) are also kept, under our safeguarding-records rule (see our privacy policy), without your name, email or username.

Reports to funders. During those 5 years, these records can still be used in the reports we give to the bodies that fund the Academy’s projects, such as the National Agency that manages an Erasmus+ or European Solidarity Corps grant, and to the auditors who check those projects. In Greece, the National Agency for Erasmus+ Youth and the European Solidarity Corps is INEDIVIM. In those reports a deleted account appears only as its reference number, with its sign-up month, level, language and status, a few dates, and its totals of tasks and drachmas. Although these records carry no name, they still relate to one person, so the GDPR treats them as personal data (pseudonymised). We share them only for this purpose, on the basis of our legitimate interest in meeting the reporting and audit duties of our grant agreements. Our privacy policy lists exactly what the reports contain.

Accounts not used for 24 months

If an account is not used for 24 months, we delete it automatically. Everything listed under What we delete goes, and the records under What we keep stay for 5 years.

We send one warning email 30 days before. It goes to the email address on the account. If a parent or guardian set up the account, that is their address, so for anyone under 18 the warning goes to their parent or guardian. To keep the account, sign in before the date in the email. Using the Academy while you are still signed in also counts.

We do not delete an account automatically while we have suspended it to look into a concern about someone’s safety.

“I want to leave” does not delete your account

My file also has a box called “I want to leave”. It ends your place in the programme: your access closes and your consent is withdrawn. It does not delete your data. Your record stays.

After you leave, you cannot sign in, so you cannot use Delete my account. To have your data deleted, email academy@evec.org.gr. If you do not, we delete it automatically 24 months after you last used the Academy. We send a warning email 30 days before.

If you are under 18

You can delete your own account in the app, as described above. You do not need a parent to do it for you. When you delete it, we email your parent or guardian to tell them. They do not need to do anything.

A parent or guardian can also ask us to delete their child’s account. See Ask us by email instead.

What deletion cannot reach

Deleting your account removes your data from the Academy. Some copies are outside it:

  • Emails already sent. Emails we sent to you, or to your parent or guardian, stay in those inboxes. Copies can also remain in the mailbox our website sends its emails from.
  • Backups. Our website host, Hostinger, keeps backup copies of the website and its database. Deleted data can stay in those copies until they are replaced in the host’s normal backup cycle.
  • Published work. If an article or graphic of yours was published on our website or social media, it stays published. Write to academy@evec.org.gr and we will remove your name from it.
  • Copies already handed over. If we sent you a copy of your data at your request, that copy is yours, and deleting the account does not change it.
  • Reports already given to funders. A report that has already gone to a funder, a National Agency or an auditor stays with them, under their own rules. It has no names in it.
  • Your own files. Documents and images you keep in your own Google Drive, Google Docs, Google Photos, Dropbox, OneDrive or iCloud belong to you. We only kept the links, and those are deleted. We cannot delete the files themselves, but you can.
  • Google measurement data. Our website uses Google Analytics and Google Ads (see Cookies in our privacy policy). What they recorded while you used the site is kept by Google under its own settings. It is not deleted with your account.

Deleting only part of your data

You can keep your account and ask us to delete something specific, such as a text you sent. Email academy@evec.org.gr and tell us what. We answer within one month at the latest.
